TIPS FOR VIRTUAL CONFERENCE DELEGATES
TECHNICAL Requirements ▪ The best browser to use is Google Chrome. Other browsers will work, except Internet Explorer. Please ensure your browser has been updated to the latest version. ▪ Please ensure you have a fast and reliable internet connection. ▪ The virtual event platform is not optimised for mobile or tablet use. Please use a laptop or desktop computer to get the best experience. ▪ Some automated emails may not display in your email inbox. Please remember to check your Spam/Junk folder for event messages and notifications. Please add admin@zerista.com to your safe senders list. ▪ You can find all messages sent to you within the online event platform by clicking on ‘My Messages at the top of every page (while in your PERSONAL profile)
DELEGATE MENU (LEFT HAND MENU ON HOME PAGE)
My Profile Select Edit my Profile to amend your name, company, email, company address, bio and profile photo. You can also add your social media profiles. If adding a profile photo, we recommend a size of 300x300px in any of these accepted formats - jpg, bmp, png, gif. When you first logged into the conference app, you were asked to choose interests/tags. If you would like to change these tags, this can be done within My Profile .
Messages You can view all sent and received messages within My Messages . We may also send you regular updates and information, so it is important to regularly check this page for new messages. Messages are sent and received on an individual basis, and not viewed as a thread of messages. Once reply to a new message it is recommended you Archive the received message. This action enables you to keep track of which messages are new, and which messages have been read and an action has been taken. An attendee will receive an email notification (default setting) for every message they receive in the VCD, but it is highly recommended that an attendee regularly checks ‘My Messages’ to see their new messages. Contacts This shows all the attendees you have added via the Attendees tab. You can contact another attendee by sending a message or requesting a meeting via the platform. My Notes You can access and amend all notes you have made about a contact, sponsor, and sessions. These notes are will not be visible to anyone else. My Schedule My Schedule will show all sessions that you have chosen to attend in the AGENDA tab be selecting the + icon. You can gain access to the session, remove a session, and add notes. You can also search for a session in My Schedule by using the search bar across the top. My Sponsors My Sponsors contains all exhibitors and sponsors that have been added. You can contact a sponsor or exhibitor by either sending a message or requesting a meeting. When requesting a meeting there will be a choice of available time slots and an area to provide details of the meeting description. Once submitted, the meeting will appear as pending in My Schedule . Library Media items such as videos will automatically end up here when you save sessions by clicking the ‘+’ icon beside sessions. Meetings Within the app you can receive meetings requests and messages from other attendees, exhibitors and sponsors. ( Note:ameeting with a company is separate from a meeting with an individual attendee . A meeting with an exhibitor/sponsor will show the company name as the participant in My Schedule .) Meeting requests will be sent to their email address (remember to check junk/spam). Meetings will also appear under the My Schedule. The meeting room is available five minutes before the scheduled start time. The video meeting functionality is delivered inside the platform via web-based software called JITSI which will automatically open a new tab. If possible, you may consider setting up and running a test meeting with colleagues to ensure your computer and firewall permissions are set up correctly.
Settings Click on Settings to change your display name, email, password, and edit your privacy setting.
Notifications The system defaults to standard notification settings, but you can change these settings at any time by going to Notifications .
NAVIGATING the event platform (MAIN MENU ON HOME PAGE)
Live Stage This is where you will watch all the plenary sessions. You will be asked to join a breakout room for a Q&A group of your choice at certain points throughout the conference. To save yourself time, please schedule your Q&A group by clicking on the + icon when in the Agenda . You can also access these breakout rooms by clicking the direct link below the Live Stage video player.
On-Demand
This page will take you to the conference video library and is another way to watch the presentations associated with the Q&A groups. The ON-DEMAND conference video library is available, exclusively for delegates, from 21 March to 31 May 2022. To access the video library for the first time, you will be asked to enter your name and email address. Please complete the form entering your name and the email associated with your registration, then click Sign Up . If you've already completed the form, then simply add your email address in the Already Registered field at the bottom of the form and click SIGN IN.
Agenda This page contains the agenda of all the sessions for the event. Click on the session title to see more information including description, speakers, session content and the live or on-demand link to access and watch the session.
Browse the agenda, select which Live Q&A groups you wish to attend. Click the + icon beside the Q&A session to add it to your personal SCHEDULE.
Attendees This page lists all the other attendees who are registered for this event. You can connect to other attendees by adding them to your contacts, requesting a meeting, messaging or making personal notes. To view the full profile of another attendee, click on their name to see additional information which they have chosen to share. Click the icons below their name.
Speakers This page lists the presenters attending the event, and you can see which sessions the speaker will be presenting. You can connect to speakers by adding them to your contacts, requesting a meeting, messaging or making personal notes about them.
Sponsors This page lists ALL the exhibitors and sponsors at the event. You can click Recommended to see which companies are suggested as a match based on your interests/tag. You can connect to an exhibitor/sponsor by requesting a meeting, adding to them to your favourites, messaging or making personal notes about them. To view the full profile of an exhibitor/sponsor, click on the name to display the collateral they have chosen to share, their staff and a company overview. Game We have five Fitbits up for grabs. Earn 1000 points to be entered into the prize draw. Go to the GAME menu and follow instructions on how to gain points, check the leaderboard, and view your point achievements. The winner will be announced tomorrow at 1.25pm in our final session. Help If you need help click the help link on top menu. We have live tech support if you are having any video problems. And the HiNZ team are standing by to answer any other questions you may have. Social Post comments in the SOCIAL stream, from the platform home screen.
